Twenty-five guests can empty a dining room quickly. They also expose every vague part of an order: whether a tray includes serving utensils, what one portion means and who is supposed to keep the second pan warm.

I begin with the room, not the entrée. Is there a kitchen? How far is the door from the table? Will people eat at once or arrive over an hour? Those answers decide whether pickup is sufficient or full service is worth the money.

Three versions of the same event

Pickup is right when the host has transportation, counter space and two people who can set out food. Delivery removes the drive but may still leave setup to the host. Full service can add staff, chafing dishes, table setup, refilling and cleanup.

The room has a menu too

Ask where the hot food lands, where empty lids go and who has the trash bags. Count electrical outlets before ordering heated equipment. Check whether the venue allows an outdoor grill or open flame.

A twenty-five-person event often needs fewer decorative details and more water, ice, napkins and places to set a plate. Solve those first. The saffron rice will look after itself.

Before you leave

Send one clear message to the caterer

  • Give the date, service address, guest count and eating time.
  • State allergies and dietary requirements separately from preferences.
  • Ask what arrives hot, what arrives cold and what must be returned.
  • Confirm delivery, setup, service, cleanup, gratuity and tax line by line.
